### Role overview

We are seeking a highly organized, proactive, and professional HR & Executive Operations Manager to serve as the single point of contact for global talent acquisition, CEO secretarial support, administrative operations, and compliance coordination with our Hong Kong legal team.

This is a standalone, high-impact role requiring a versatile individual who can manage recruitment across multiple geographies, handle all employee documentation, draft professional correspondence, leverage AI for efficiency, and seamlessly coordinate legal paperwork with our Hong Kong office to ensure full regulatory compliance.

This role can be based in Bengaluru, Pune or Hyderabad.

### Key responsibilities

### 1. Global Talent Acquisition & Recruitment

- Manage end-to-end recruitment for staff and interns across the globe (job posting, sourcing, screening, interviewing, and offer negotiation).

- Coordinate with hiring managers worldwide to understand workforce needs.

- Ensure a smooth, standardized onboarding experience for all new hires.

### 2. Legal Documentation & Compliance Coordination (Hong Kong Office Liaison)

- Draft preliminary employment contracts, offer letters, NDAs, and other HR agreements in alignment with templates provided by the Explera DMC Hong Kong legal team.

- Liaise directly with the Hong Kong office to ensure all final legal documents, statutory filings, and employment paperwork are fully compliant with Hong Kong regulations and company policies.

- Prepare and submit all company-related forms, online registrations, and regulatory applications, funneling final approvals through the Hong Kong legal authority.

- Maintain accurate, auditable employee records in line with HK compliance requirements.

### 3. CEO Secretariat & Executive Support

- Act as the CEO's personal secretary – managing calendars, scheduling meetings, coordinating global travel arrangements, and handling day-to-day administrative tasks.

- Draft, review, and reply to professional emails, business correspondence, and internal communications on behalf of the CEO.

- Prepare meeting agendas, Minutes of Meetings (MoM), presentations, and reports.

- Handle confidential and sensitive information with the utmost discretion.

### 4. HR Operations & Administration

- Manage employee records, attendance, leave tracking, and HR databases.

- Oversee the full onboarding and induction process for all new joiners.

- Support employee engagement, training coordination, and internal communications.

- Manage office administration and vendor coordination as required.

### 5. Leveraging AI for Efficiency

- Utilize AI tools (e.g., ChatGPT, Copilot, AI recruitment platforms) to automate candidate screening, draft job descriptions, generate professional emails, and streamline repetitive HR administrative tasks.

- Continuously identify and implement AI-driven process improvements to enhance productivity across HR and executive support functions.

### Requirements

- 5+ years in HR, talent acquisition or HR operations, including multi-country or international hiring

- Experience supporting a CEO, founder or senior leader as an executive assistant or secretary is a strong advantage

- Excellent written and spoken English, with the ability to draft professional correspondence, minutes and reports

- Working knowledge of employment contracts, offer letters and NDAs; exposure to Hong Kong or cross-border compliance is a plus

- Confident user of Google Workspace or Microsoft 365 and of AI tools such as ChatGPT and Copilot

- Highly organised and discreet with confidential information, comfortable owning a standalone role

- Valid right to work in India

### How long does the hiring process take?

Most roles take three to four weeks from application to offer. Screening happens within five working days, and we tell you if timings change.

### Can I apply for more than one role?

Yes. Apply to each role separately. If two roles are a close match, the recruiters will coordinate so you only interview once.

### Do I need to speak a language other than English?

Only where the job post says so. Each role lists the languages and levels required, such as Japanese JLPT N2 or Korean TOPIK 5.

### Do you support work permits?

For some roles in Thailand, Japan and Indonesia we support work-permit applications. The job post and your recruiter will confirm this for each role.

### What happens to my data?

We keep your application for the period in our candidate privacy notice, then anonymise it. You can ask us to delete it at any time from your application status page or by emailing hr@expleradmc.com.

### How do I check my application status?

Your confirmation email includes a private link to the status page. It shows your current stage, any scheduled interviews and offers, and updates when anything changes.

### Do you accept applications from outside the country of the role?

Yes, unless the job post says the role requires existing work rights. Remote roles list the countries candidates can work from.

### What is the talent community?

A way to share your profile once without applying for a specific job. Recruiters contact members when a matching role opens in their preferred country or team.
